This Privacy Policy explains how OpenSchool ("we", "us") collects, uses and protects personal information when you and your child use Luna and the OpenSchool platform (the "Service"), and when you visit our website.
OpenSchool is made for children to learn with, under the direction of a parent or legal guardian. The parent or guardian creates the account and consents to our collection and use of their child's information. Our Children's Privacy Notice explains that in detail and is written for parents. Where this policy says "you", it means the parent or guardian who holds the account.
1. Information we collect
Parent account information. When you create an account we collect your name, email address and password through our identity provider. If you subscribe, your card details go directly to our payment provider. We do not store your card number, only a record of your plan and payments.
About your child. You tell us your child's first name and the grade they are working at, and you answer a few questions about how they learn and what they find hard. If you choose to, you can also tell us about a learning difference such as ADHD, dyslexia or autism, or that your child is anxious or working ahead. You can skip that question, and if you answer it we use it only to tailor how Luna teaches them. We use all of this to set up their program and to introduce Luna to them.
Learning activity. As your child learns, we collect their answers, written work, placement and assessment results, progress, and their conversations with Luna, including what they say to her and what she says back. If they upload a worksheet, photo or document, we store it and the text we read from it.
Voice. If your child speaks to Luna, what they say is turned into text and kept as part of their lesson history. We never record or store your child's voice, and Luna listens only while a voice lesson is active. We may keep audio of Luna's own voice so that a lesson can be replayed.
Support and feedback. If you contact us or report a problem from inside the app, we keep the message and anything you attach, which may include a screen recording you choose to send.
Device and usage information. We collect technical information such as browser and device type, approximate location derived from your IP address, pages visited and features used. We use this to keep the Service working, to fix errors and to understand how it is used.
Website visitors. Our marketing pages and sign-up quiz use advertising pixels from Meta. They tell Meta that a page was viewed and whether a sign-up was completed, so we can measure our advertising. They never receive your quiz answers, your child's name, or anything about your child's learning.
Booking a call. If you book a call with us, we collect your name, email address, phone number, time zone and the reason for the call so we can hold it.
Session recordings. Inside the app we use a product-analytics tool that records how the app is used, including a replay of what appeared on the screen during a lesson: Luna's whiteboard, her words, and the transcript of the conversation shown on screen, which includes what your child said to Luna as text. Anything your child types is hidden in the recording. Members of our team watch these recordings to see where Luna or the app went wrong and to improve her teaching. Recordings are tied to your account, are deleted automatically after 30 days, and are seen only by staff who need them for this purpose. We do not use them for advertising, to build a profile of your child, or to contact your child. Your child's voice is not recorded.
Cookies. We use cookies that are necessary to keep you signed in and to remember your settings. The advertising pixels described above also set cookies on our marketing pages.
2. How we use information
We use information to provide the Service, to personalize your child's lessons, to track and report their progress to you, to communicate with you about your account, to respond to support requests, to improve Luna's teaching, and to keep the platform secure. We review some lessons to check that Luna taught well and behaved appropriately.
We use your child's information only to teach them and to report to you. We do not use it for marketing, and we do not show advertising inside the Service.
We may send you emails about OpenSchool, your child's progress and new features. You can unsubscribe from marketing emails at any time using the link in each email. Account and billing emails will still be sent.
If you allow notifications on your device, we may send you reminders about lessons and updates on your child's progress. You can turn these off at any time in your device or browser settings.
We do not sell personal information. We do not use lesson content or any other personal information to train artificial intelligence or machine-learning models. Our Terms of Service separately prohibit using the Service or its materials to train or feed any AI system.
3. Service providers
To run the Service we use companies that process information on our behalf and only on our instructions. They are bound by contract to use the information only to provide their service to us. They fall into these categories:
- an identity provider for sign-in and account security;
- a payment provider for subscriptions;
- cloud hosting and storage;
- the AI and voice technology that powers Luna;
- an email delivery provider;
- error-monitoring and product-analytics tools; and
- advertising measurement tools on our marketing pages.
We do not share personal information with anyone else, except where the law requires it or to protect the safety of a child, you or others.
4. Children's privacy
OpenSchool is designed for children, including children under 13. A parent or legal guardian must create the account and consent before a child uses Luna. We collect from children only what we need to teach them. We do not sell their information, we do not use it to train AI models, and we do not show them advertising.
Parents can review the information we hold about their child, ask us to correct or delete it, refuse further collection, or withdraw consent at any time. Our Children's Privacy Notice sets all of this out in full and is our direct notice to parents under the US Children's Online Privacy Protection Act (COPPA) and similar laws.
5. How long we keep information
Our retention policy is this. We keep personal information for as long as your account is active, because Luna needs your child's history to teach them. When the account is deleted, we erase it as described below. Billing records are kept for as long as tax and accounting law requires. Session recordings are deleted automatically after 30 days. Support messages are kept while your account is active and for two years after it closes, then deleted. We do not keep children's personal information for any longer than is reasonably necessary for the purpose it was collected for.
You can ask us to delete your account and your child's information at any time by emailing support@openschool.ai from the address on the account. We will erase the account, your child's profile, lessons, work, results and uploaded files. Billing records are kept for as long as tax and accounting law requires. Some technical records held by our monitoring and quality providers are kept for a limited period and then expire. We keep only a record that consent was given: the date and which version of these documents was agreed to, without your child's name or any other details.
6. Security
We protect information with technical and organizational measures appropriate to its sensitivity, including encryption in transit, access controls and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your or your child's personal information, we will notify you as the law requires.
7. Your rights and choices
Depending on where you live, you may have the right to access the personal information we hold about you and your child, to correct it, to delete it, to receive a copy of it, to object to or restrict certain processing, and to withdraw consent. You will not be treated differently for exercising these rights.
If you are in the United States, you may also opt out of the advertising measurement described above by emailing support@openschool.ai. If you are in the European Union or United Kingdom, you may also lodge a complaint with your data protection authority. If you are in Australia, you may complain to the Office of the Australian Information Commissioner.
To exercise any right, email support@openschool.ai. We may ask you to confirm your identity first, and we will respond within the time the law requires, and in any case within 30 days.
8. Where information is stored
We operate from Scottsdale, Arizona and Melbourne, Australia, and the Service is hosted in the United States. Our providers may process information in other countries. Where the law requires, we use approved safeguards for international transfers.
9. Changes to this policy
We may update this policy from time to time. We will post the updated version here and revise the "last updated" date above. If a change materially affects how we handle your child's information, we will tell you by email and ask for your consent again before continuing.
